內容大概如下：

Dear XXX,

I was informed that due to budget reduction, XXX has to print the relevant course materials for the upcoming XXX programme, which they are printed by our service provider “XXX” before.  It is believed that the course materials will only be available for printing two or three days before the programme starts, so I am afraid there is insufficient time for us to print such a large amount of materials (i.e. around 500 copies and each copy about 1” thick) in such a limited timeframe.

I asked for the advice of XXX from printroom and she said the printing time for such a large amount of materials (double sides printing with hole punch) is about two working days.  (P.S. Two photocopiers process at the same time with smooth operation)

Also, it may not be cost efficient to send those materials to our printing department as it costs $1 for one page copied, which is much higher than that of XXX’s charges.  I wonder whether we have sufficient time, resources and manpower to complete the task if we print the materials by using only one photocopier.

I think I have the responsibility to ensure a smooth logistics process of printing the materials so I would like to raise out my concern and point out my difficulties on this issue and I also wonder whether the budget should cover the printing cost of such course materials, which is not an extra or unforeseeable course materials.

I would like to seek for your opinions and advices on this matter.  Thank you very much.
