1.      Abbreviated dialing – frequently used numbers can be keyed in and stored, and when required just one, two or three digits dial the number.

2.      Absent extension answering – an extension rings a predetermined number of times and then the call is passed to other extensions on a programmed circuit until the call is answered.

3.      Automatic transfer – an extension user can transfer a call direct to another extension (not via the operator)

4.      call forward – an extension user when leaving their location can key in a code with the number of the extension where they will be and a call will automatically be transmitted to the new extension (also referred to as ‘follow me’)

The advantages of fax as a method of method of transmission are that

1.      it is cheaper than a letter or telephone call

2.      it is received virtually instantaneously as it is transmitted

3.      if received during working hours a reply can be faxed or telephoned very quickly.

4.      it can be sent at any time of the day or night;

5.      when sent ‘out of hours’ it is charged at cheap rate;

6.      it is cheaper than a letter or a telephone call (because of the time spent talking).

Using the machine effectively

1.      Always read the manual before operating an unfamiliar machine

2.      Machines now switch themselves to ‘standby’ after a few minutes, but it is always advisable to check paper size, number of copies, print density etc.

3.      Keep the copy paper in a dry place. Even slightly damp paper causes sheets to stick together causing feed jams.

4.      Check the document glass to make sure that there are no marks on it. If there are, wipe the glass carefully with a soft cloth so as not to scratch it.

5.      Never put a document through the feeder with staples or paper clips attached.

6.      Before a ‘run’ check the first copy to ensure that the text is correctly positioned on the paper, the print density is right and there is no fading of parts of the text.

Criteria for selecting a particular mail service

1.      Speed – is there a deadline for receipt by the addressee?

2.      Weight – first and second class post and airmail services have weight limits.

3.      Fragility – is a great deal of packing needed creating a very large package?

4.      Cost – some services are expensive but this is related primarily to speed.

5.      Value – if the item is lost, would compensation be required?

6.      Security – even though the item may not be valuable it may be very important that it is delivered safely.

Cheques can be dishonored

1.      if there are insufficient funds in the account and an overdraft has not been arranged.

2.      if the cheque is postdated, ie the date is ahead of time

3.      if the cheque is stale, ie the date is more than six months ago.

4.      if the cheque is not completed in all details

5.      if the amount in words does not match the amount in figures

6.      if the cheque is defaced, ie details have been altered and not signed.

7.      if the drawer stops the cheque, ie requests the bank not to pay it.

8.      if the signature does not match the specimen signature held by the bank.
